Office Manager
The Beatrix Farrand Society has an immediate need for a part-time Office Manager for our dynamic non-profit organization. This position offers flexibility, requiring 10-20 hours per week from April to October and fewer hours during the winter months. The candidate must be available to work on Thursdays, which are Open Days at Garland Farm, with occasional Saturdays as necessary.
The Office Manager will report to the President of the Board and collaborate with Board Members to oversee operations, promote existing and new programs, policies, and partnerships, and act as an official
representative of the organization. Additionally, the Office Manager will contribute to short- and long-range strategic planning activities, working to create and implement fundraising goals and objectives in coordination with appropriate board committees.
The ideal candidate possesses excellent organizational skills, is self-motivated and self-sufficient, has strong communication skills, enjoys interacting with the public, and is willing to assist as needed. While prior office and fundraising experience are advantageous, they are not required.
An interest in horticulture, landscape architecture, education, architecture, or history is also a plus.

DUTIES AND RESPONSIBILITIES
Site Manager
– Oversee the seasonal opening and closing of Garland Farm.
– Schedule requested visits and tours of the property.
– Host visits and tours if necessary.
– Open and close the building on Open Days.
– Coordinate the cleaning of the interior with the Housekeeper
– Attend meetings and programs on and off-site as needed.
Communications
– Ensure visitor materials such as brochures, publications, receipts, and cash/change are adequately provided.
– Maintains social media, including Instagram and Facebook accounts
– Create photographs for general use (Optional)
Operations
– Maintain the office at the property.
– Stock office supplies
– Monitor service contracts and maintenance of all office equipment
– Answer phones and respond to answering machine messages.
– Collect and process mail from the post office box and give/send bills and checks to the bookkeeper and route other mail as appropriate
– Maintain records of visitation, volunteer hours, etc.
– Maintain the calendar for mailings, events, tours, meetings, and all other matters of importance to Board members and staff
– Serve as the salesperson and distributor for publications, products, and materials
– Tally the donations and sales from Open Days and other visits and events and report to the Bookkeeper and board as relevant.
– Assist in the preparation of documents for meetings for the Board of Directors
Volunteer Coordination
– Schedule docents and record their hours.
– Host a volunteer thank you event in the fall.
– Secure volunteers for programs and events.
– Assist in recruiting and training volunteer docents for Open Days and other tours
– Host a training day in the spring for all docents.
Program Coordination
– Assist the Programs Committee with logistics for all speakers, such as travel arrangements, lodging, book purchasing/selling/returning, etc.
– Coordinate with the Programs Committee about operational aspects of programs and events.
– Assist the Programs Committee with implementing programs and events
– Send contracts out to all speakers.
Archives and Library
– Assist Library Committee with maintaining archive and archival materials, including herbarium.
– Assist the Library Committee with maintaining the library both digitally and materially.
– Assist the Library Committee with accessing new items to the collection and acknowledging donors.
